Juniors and safeguarding

Tennis Ladder takes junior safety seriously, and several protections are built in rather than optional. Junior leagues are walled off. Players, results and match details in a junior league are only visible to approved members of that league and the club's organisers — never to the public, other adults at the club, or search engines. Names are protected. Where junior names could appear in shared or public places, they're masked server-side — this isn't a setting anyone can switch off by accident. Juniors playing in adult events. When an under-18 plays in an adult tournament, club night or One Point Slam, signed-in members of the club see their full name. Anyone else, including someone signed out, from another club or opening a shared link, sees their first name and initial (like "Ellis W."). The same goes for results, the Hall of Fame, the club TV screen and live scoreboards, and anything shared out of the app always uses the first name and initial. Junior members are recognised automatically. For a player typed in by name, the organiser ticks "Under 18" on the tournament's Organiser tab. Partnering a junior in a tournament. A member can pick a junior as their doubles partner only if the junior's parent has allowed games with adults (More → Family), the same switch that covers adult/junior friendlies. Juniors aged 16 and over can allow it themselves. Organisers can place a junior in a pair for their own event. Either way, the junior is marked as under 18 automatically, and tournament emails go to their parent. Age and gender eligibility is enforced when joining: a junior can't join an adult league (and vice versa) without meeting the league's rules. Date of birth (juniors only). When a junior joins, their parent or guardian gives the player's date of birth. It's used for exactly three things: verifying age, applying the right protections for their age, and switching junior protections off automatically when they turn 16. It's never shown to anyone — not other members, not organisers — and it never appears in the app. Growing up is automatic. On a junior's 16th birthday their account graduates to Adult: junior protections lift and emails start going to the player instead of their guardian. No one has to remember to do it. (Profiles without a date of birth on file are moved by the club organiser instead, who verifies age first.) About four weeks before, the parent or guardian gets a heads-up email (and Your family shows "turns 16 in "), so it's never a surprise. On the day they're told again: you stop playing for them, they leave Your family, and everything they've earned (badges, certificates, results) stays with them. If the player doesn't have their own email address on file yet, that email carries the player's personal sign-in link to pass on. When they open it, the app offers Make your account yours: they choose how to sign in from then on (Apple, Google, Microsoft or their email), and link that sign-in to their profile, even if it uses a different address. A parent's own sign-in can never take over their child's profile this way. Contact details are never shown. No junior email or phone number is ever displayed to other members. Messaging is guardian-controlled, with more independence from 16. An adult can never message a junior on Tennis Ladder — full stop, organisers included. Juniors can use match chat with other juniors when a match is on (a ladder challenge or a friendly between two juniors): - Under 16: chat stays off until every player's parent or guardian has switched it on, and guardians receive a copy of every message by email. - 16 and 17 (where we hold a date of birth): old enough to use match chat themselves — no guardian switch needed. Every other protection still applies. - At every age: junior chat is juniors-only, phone numbers, links and social handles are blocked, chats are match-time only (no ongoing DMs), and anything can be reported to the club with one tap. Junior friendlies stay private. Two juniors can arrange and log a friendly match, but the result is only visible to the players themselves, their junior group and the club's organisers — never in the club-wide results feed. Friendlies with adults — the parent decides. A junior who plays up in an adult league can arrange friendly matches with adult members of that same league, but only after their parent or guardian switches it on (one tap in an email, or from More → Family in the app). What stays protected even then: - No chat, ever — adults and juniors still can't message each other. Games are arranged by suggesting match times in the app. - Match emails go to the parent, and the parent gets an email every time a game with an adult is arranged, with a one-tap link to switch the permission off again. - These friendly results stay private, exactly like junior friendlies above. GIFs and reactions across the whole platform run through a hard, G-rated content filter enforced on our servers — it can't be bypassed from a device. Anything that slips through can be reported with one tap and disappears immediately pending review. Questions or concerns about a junior's account? Contact us and mark it urgent — safeguarding queries jump the queue. Identity and guardian contact A parent or guardian email is a contact route, not the child's sign-in identity. Two children may safely share the same guardian address: their player records, notifications and account deletion are kept separate. If a junior has their own email, it may be stored separately; otherwise the player email remains blank and messages route to the guardian. A junior's own sign-in email is guardian-managed. A junior can be given their own email address purely so they can sign in themselves (to see their matches, send challenges and log results). That address is set by the parent or guardian — at sign-up, or later from More → Family in the guardian's own account — or by the club organiser. Juniors can't change their sign-in email themselves, and Tennis Ladder never sends email to a junior's own address: every email about a junior, including sign-in links and reminders, goes to the parent or guardian — even when the junior plays in an adult league. Playing for your child Most juniors don't have an email of their own, so the app lets a parent act for them. Sign in with the email you gave as guardian and you'll see your child's leagues alongside yours, with a note at the top saying you're acting as them. From your own login you can challenge, accept, set a time and log or confirm results for your child. Chat and profiles stay the child's own; every message and notification still comes to you as guardian. It's on automatically until your child signs in with a login of their own (adding their email isn't enough to hand over: they have to actually sign in). Under More → Family you can switch it off per child, or connect the child's own sign-in email if they're old enough to run things themselves. Where to find your child: tap your own picture (top right). Your profile has a Your family card. With one child you see their leagues straight away; with more, tap a child to see their leagues, badges and settings. Add a child at the bottom of the card signs another child up: the form starts on Junior with your details already filled in as their parent. Tap the league and it opens with you acting for them: who to play next, their challenges, logging results. The same card is under More → Family. You never sign out and back in as your child; you stay you. Buttons in emails about your child sign you in (not your child), straight to the right screen. Your child's character. Children choose a cartoon character for their avatar (never a photo). Tap their face under Your family, or More → Family → Character, pick a style and a character, and save. Great fun to do together. Family settings live under More → Family: each child's leagues, badges, character, parents and permissions (Play as, match chat, adult friendlies) as simple switches. Two parents? Under More → Family, tap your child and use Parents → Invite with the other parent's email. Once they accept, they manage your child from their own login and get their match emails too. Either of you can remove the second parent there at any time. Just managing, not playing yourself? That works too. A strip under the top bar says Acting for on every screen, and your picture stays yours. Tap it to see your family. Want to play as well? Join a league myself is on the same card. Your child's badges and certificates Everything your child earns — match badges like First win, milestones, new levels and monthly honours such as Junior Player of the Month, Junior Most Active and Junior Hot Streak — belongs to your child, not to you, even when you manage them from your own login. Where to find them: tap your picture (or open More → Family), then Badges & certificates under your child's name. Their profile opens on Achievements, with every badge they hold and a certificates card underneath: any monthly honour or milestone comes with a printable certificate (print it, or save it as a PDF). The badge count on that row shows how many they have. You'll hear about it: when your child earns a new badge we email you (and, if you're a member yourself, send a notification to your phone — never late at night). The button in the email goes straight to their Achievements. Monthly honours for juniors are emailed to the parent or guardian only — no club-wide announcement ever names a child, and when two juniors tie for an honour it's shared between them without naming the other child. Junior certificates are for the fridge, not for social media: the app doesn't offer a public share card for a child's award. Badges for trying, not just winning. Some badges reward playing well, so a tough loss still earns something: First match, Fighter (won a set in a match they lost), Close call, Tiebreak hero and more. You'll hear about these too. Ball levels: red, orange, green, yellow Young players learn with slower, lower-bouncing balls on smaller courts, moving up a colour as they grow: red (usually 8 and under, small court), orange (9 and under, ¾ court), green (10 and under, full court) and then the normal yellow ball. A junior league can be set to the ball it's played with. You'll see it on the league ("Orange ball") and on your child's profile. Each colour comes with a badge: your child earns Red ball, Orange ball or Green ball the first time they play a match at that level, and Yellow ball when they've come up through the colours to the full ball. They're on their profile under Ball levels. Leagues with a hidden table Some junior leagues, often the youngest groups, keep the table hidden until finals day. Your child just plays: there are no positions, no win–loss record and no ups and downs on show to anyone. - Open the league and you'll see Who to play next: three children your child can play, starting with ones they haven't met yet. Tap Challenge to arrange a match, or Log a result after you've played. - You see your own child's results. Other parents don't, and you don't see theirs. - Every match still counts, and earns badges, win or lose. - On finals day (the date shows on your screen) the organiser reveals the final table, and we email you to come and look. Then they crown the winner. The next season starts hidden again. - The monthly recap email counts matches played and badges, not wins. Organisers and the league's coaches can always see the full table. From the coach Your child's coach (the club's organisers, such as the people who run the junior groups) can: - Give a badge they choose: Coach's Star, Fair Play, Most Improved or Great Partner, often with a few words ("Great attitude today!"). - Leave a note on a match: what went well, and one thing to work on. Who can read them: your child, you, and the club's organisers. Nobody else. Other members can see that your child has a badge, but never the coach's words or notes. You'll get an email when the coach gives a badge or leaves a note. The badges are on your child's Achievements, and notes sit under the match on their Results. A coach can take a badge back if it was given by mistake.

Your account and privacy

Signing in. Use your personal magic link (sent by email), or sign in with Google, Microsoft or Apple. All routes reach the same account — the email address is what links them. Your profile. Tap your avatar (top right) to open it. Pick an avatar (choose a tennis-player look and skin tone) — or add a real photo (optional; it helps people recognise you at the club, it's resized to a small square on your phone, and you can remove it any time; photos aren't available on junior accounts, and anyone can report a photo, which hides it immediately). Set your playing hand, play style, availability (Free to play / Away), and phone number (optional — it lets opponents reach you on WhatsApp to arrange matches; you control it and can edit or remove it any time). Reaching another player. On someone's profile, tap Contact to message them by WhatsApp or email to arrange a match. One account, many leagues and clubs. Play in several? They're all linked through your email, your rating follows you, and you can switch between your clubs in the app. Your data. We store what's needed to run your leagues — name, contact details, match history — and nothing is sold or shared with advertisers. Club organisers see the contact details of their own members only. Deleting your account removes your login, personal details, push tokens and pending matches immediately; confirmed match scores remain in league history with your name shown as "Former member". Data questions: [email protected].

Privacy Policy

Quick answer: Tennis Ladder collects only what's needed to run club ladders — your name, email, optional phone/ratings, and your match records. If you choose to attach a watch workout to a match, that health summary is stored with your explicit consent, stays private to you by default, and you can delete it at any time. Nothing is sold or used for marketing. For privacy queries or to exercise your rights, contact support or your club organiser. Who we are Tennis Ladder (tennisladder.co.uk) is the platform your tennis club uses to run its ladders and leagues. For each club's ladder, the club is the data controller and Tennis Ladder processes data on its behalf. For platform-level queries, use the in-app support chat or the contact details in the app footer. What we collect - Your name and email address - Your doubles partner's name/email (if you enter them) - An optional phone number - Optional LTA/WTN/UTR ratings you choose to add - Your match records — results, scores, challenges and ladder position - Optionally, a workout summary you choose to attach to a match — see Health & workout data below For under-16s we collect a parent/guardian's contact details instead of the child's. For junior members we also collect the player's date of birth, given by the parent/guardian at sign-up. It is used solely to verify age, apply age-appropriate protections (including the age from which match chat can be used without guardian consent), and automatically remove junior protections at 18. It is never displayed in the app or shared with other members. Why, and our lawful basis We process this data on the basis of the club's legitimate interests in running its ladder — displaying standings, letting members arrange and confirm matches, and sending match-related notifications (challenges, result confirmations and activity reminders). We don't use your data for marketing. Who can see it - League tables and results (names, positions and scores) of a club's public leagues are visible to anyone with the link. A club can make any league private, in which case only its members can see it. - Email addresses and phone numbers are never shown publicly, nor in member lists. A member's contact details are released only to a signed-in member who plays in the same league (so you can arrange matches), and to the organisers of that league. Anyone else — including people from other clubs — can't see them. - Juniors: to anyone outside the club a junior appears only as "Junior player", with no name or photo. Junior leagues are visible only to approved members of that league and organisers. Anyone arranging a match with a junior is given the parent/guardian's contact details, never the child's, and messages about a child go to the parent/guardian. - You can hide yourself from your club's player directory in Settings. UTR connection (optional) If you choose to connect your UTR Sports account, we store an encrypted access token and a cached copy of your UTR rating to display it. You can disconnect at any time, which removes the token. Health & workout data (optional) If you use the watch features, you can attach the workout you recorded during a match to your result. Health data is special category data under UK GDPR, so it gets stricter treatment than everything else: - Lawful basis: your explicit consent (UK GDPR Article 9(2)(a)). Nothing is read until you grant permission in Apple Health or Health Connect, and nothing is stored until you choose to attach a workout to a specific match. You can withdraw consent at any time — revoke the app's access in your phone's health settings, and remove any attached workout with one tap. - Health Connect (Android). On Android the app requests one read-only Health Connect permission — exercise sessions — used for a single purpose: finding the tennis workout you recorded around a match you played and, if you choose, attaching its summary to your own match result so you can see your own fitness data in the context of your sport. We never write to Health Connect, never read in the background, never access other data types, and never use Health Connect data for advertising, marketing, profiling, rankings or any decision-making. Health Connect data is retained only while the attachment exists: detach the workout, delete the match, or delete your account and it is deleted from our servers. - What we store, per attached match: duration, active calories, average and peak heart rate, a compressed heart-rate curve (at most 64 points), and the name of the recording device. Nothing else. Readings shown on the watch itself — sleep, heart-rate variability, blood oxygen and similar — are read from your device on your device and are never uploaded to our servers. - Private by default. An attached workout is visible only to you. Adults can choose to share a match's summary with their club per match, and can unshare it again at any time. Junior players' health data can never be shared — this is enforced on our servers regardless of what a device requests. - Never used for anything else. Health data never affects ratings, points or ladder positions, is never used for marketing or profiling, and is never shared with or sold to third parties. - Deletion. Removing an attached workout deletes it. Deleting your account deletes all of your health data with it. - Data is encrypted in transit (TLS) and at rest (Cloudflare's storage encryption). Where your data is stored, and how it's protected - Database and app: Cloudflare, with the database running in Cloudflare's Western Europe region. Encrypted in transit (TLS) and at rest. - Backups: an encrypted copy of the database is taken every night and kept for 14 days on our own server in London (Oracle Cloud, UK South), then deleted. - Help desk, newsletters and analytics: self-hosted on that same London server — not third-party services. Our analytics are cookie-free and don't track individuals. - Access to member data is limited to the Tennis Ladder team and, for their own club, its organisers. Sharing & processors We never sell or share your data with third parties for their own purposes. We use these service providers purely to run the app; they process data only on our instructions: | Provider | What for | What they receive | |---|---|---| | Cloudflare | Hosting, database, file storage | Everything the app stores | | Mailgun (US-based; Resend as a fallback) | Sending emails | Your email address and the email's content | | Apple and Google | App notifications, and "Sign in with Apple / Google" (Microsoft sign-in too, if you use it) | A device token and the notification text; your sign-in identity if you choose that option | | BulkSMS | Occasional sign-in reminder texts | Your phone number and the text | | Flagsmith | Switching new features on for particular clubs | An account ID, your email address and your club | | Google | Club address lookup and maps | The address being searched (not your personal details) | | KLIPY | GIF search in chat | The search words only | | UTR Sports (only if you connect it) | Showing your UTR rating and sharing results | Your UTR account link and results | | Oracle Cloud (London) | Our own server for backups, help desk, newsletters and analytics | The data those services hold | Where a provider processes data outside the UK (for example Mailgun in the US), it does so under the safeguards UK data protection law requires, such as the UK–US Data Bridge or standard contractual clauses in the provider's data processing terms. Retention We keep your data while you're an active participant and delete it on request or when you leave the ladder. You can delete your account yourself in the app (Settings), which deletes your data; it then drops out of our backups within 14 days. Attached workout data is kept until you remove it or delete your account, whichever comes first. Your rights Under UK GDPR you have the right to access, rectify, erase, restrict or object to processing of your data, and to data portability. To exercise any of these, contact your club organiser or platform support. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk. GDPR & Data Protection

Quick answer: Tennis Ladder is built for UK GDPR compliance — data hosted with Cloudflare, minimal collection, junior names masked, no marketing use, and full support for access/erasure requests via your club organiser or platform support. How responsibility is split - Your club is the data controller for its ladder — it decides who's in its leagues and can see its data. - Tennis Ladder (the platform) processes that data on the club's behalf: hosting, standings, notifications and support. Where your data lives The app and database are hosted on Cloudflare, with the database in Cloudflare's Western Europe region, encrypted in transit and at rest. Nightly encrypted backups are kept for 14 days on our own server in London, where our help desk, newsletters and cookie-free analytics also run (self-hosted, not third-party services). Emails are sent via Mailgun (US-based, under UK-approved safeguards). The full list of providers, and exactly what each receives, is in the Privacy Policy. We use providers purely to run the app — they act on our instructions and don't use your data for their own purposes. Who can see contact details: never the public. Only signed-in members of the same league (to arrange matches) and that league's organisers. Juniors appear to outsiders only as "Junior player", and their contact is always the parent/guardian's. Data minimisation We collect only what a ladder needs: name, email, optional phone/ratings, and match records. No marketing lists, no profiling, no selling of data — ever. Special category data (health) The optional watch-workout feature stores health data (duration, calories, heart rate for a match you attach it to), which UK GDPR treats as special category data. We process it only with your explicit consent (Article 9(2)(a)): a device permission you grant plus a per-match attach you choose. It is private to you by default, sharable per match by adults only (never juniors — enforced server-side), removable with one tap, deleted entirely with your account, and never used for ratings, rankings, marketing or profiling. Richer readings shown on the watch (sleep, HRV, blood oxygen) stay on your device and are never uploaded. Full detail in the Privacy Policy and Tennis Ladder on Apple Watch. Juniors Junior players get extra protection: their names are masked from public view, and we hold a parent/guardian's contact details rather than the child's. See Juniors and safeguarding for the full picture. Your rights (and how to use them) Under UK GDPR you can ask for: - Access — a copy of the data we hold about you - Rectification — fixing anything that's wrong - Erasure — deleting your data when you leave - Restriction / objection — limiting how it's used - Portability — your data in a reusable format Contact your club organiser or use the in-app support chat and we'll action it promptly. You can also complain to the ICO if you're unhappy with how data has been handled. See also: Privacy Policy, Cookie Policy.

How responsibility is split - Your club is the data controller for its ladder — it decides who's in its leagues and can see its data. - Tennis Ladder (the platform) processes that data on the club's behalf: hosting, standings, notifications and support. Where your data lives The app and database are hosted on Cloudflare's platform. Emails are sent via Mailgun/Resend. Support and analytics run on our own self-hosted infrastructure. We use these providers purely to run the app — they act on our instructions and don't use your data for their own purposes.

(Profiles without a date of birth on file are moved by the club organiser instead, who verifies age first.) If the player doesn't have their own email address on file yet, the parent or guardian receives a handover email that day with the player's personal sign-in link to pass on — once signed in, the player adds their own email under Profile.

Terms & Conditions

Quick answer: Tennis Ladder is a free app for running friendly club ladders. Play fair, report results honestly, be respectful, and use shared contact details only to arrange matches. What this is Tennis Ladder is a free app for running a friendly club ladder — joining leagues, challenging other members, arranging matches and recording results. By using it you agree to these terms. Eligibility & accounts You sign in with your email (a magic link) or a social login. Keep your sign-in link private. Under-16s must be registered and managed by a parent or guardian. You're responsible for activity on your account. Fair play & results Results are self-reported: the winner logs the score and the other player confirms it (or it auto-confirms after a grace period). Report results honestly and accurately. Organisers may correct or remove results, and may remove players who abuse the system or behave unfairly. Conduct Be respectful. Don't harass other players, enter false information, impersonate anyone, or misuse contact details shared for arranging matches. Contact details are provided solely to organise games — not for marketing or any other purpose. Ratings Your in-app ladder position and rating are our own club mechanic. Any LTA/WTN/UTR numbers shown are your own figures or come from those providers; we don't calculate official ratings. Availability The app is provided "as is", free of charge. We aim to keep it running but can't guarantee uninterrupted service, and we may change or withdraw features. Liability Tennis is a physical activity you take part in at your own risk — make sure you're fit to play. To the extent permitted by law, we're not liable for injuries, disputes between players, or losses arising from use of the app. Questions Use the in-app support chat, or see our Privacy Policy for how we handle your data.

Who can see it - Player names, results and standings are visible to anyone with the ladder link. - Junior players' names are masked from the public. - Email addresses and phone numbers are not shown publicly — contact details are shared only with an opponent you're arranging a match with, and with organisers. Sharing & processors We never sell or share your data with third parties for their own purposes. We use service providers purely to run the app — Cloudflare (hosting & database), Mailgun/Resend (sending emails), Google (club address lookup) and, if you opt in, UTR Sports — who process data on our instructions. Retention We keep your data while you're an active participant and delete it on request or when you leave the ladder.
